Frequently asked questions
This page collects the questions we hear most, with short answers. Each answer points to the page that explains more. Questions are grouped for health workers (GeneralUser, LocationAdmin), for site and office admins, and for parents.
For health workers
Section titled “For health workers”Can a child be dosed at a different camp site from the one they registered at? Yes. On the Prashan page, type the child’s exact UPC in Manual Search. Searching by name only shows children in your own scope. A warning names the child’s home site and this site; click Continue — dose here. While you work, an amber strip reminds you the child is registered elsewhere. The child keeps their home site, and the day’s report counts them under Dosed here, preferred site elsewhere.
How often can a child be dosed? Once per camp day. If you open a child who already has a completed dose today, the screen turns read-only and shows Already dosed for this campday. The programme is monthly, so camp days are usually a month apart. Over a lifetime the limit is 60 doses.
What is the 60-dose cap? Prior doses reported by the guardian (from the paper register) plus doses recorded in the system add up to a lifetime total. At 60 the system refuses another dose, both on screen and on the server. Tell the guardian the course is complete.
What happens if I mark the wrong child as dosed? Submitted sessions are locked. You cannot delete or edit a dose yourself. Open the correct child and dose them. For the wrong child, open their profile, click the month tile on the timeline and add a remark explaining the mistake. Then tell your LocationAdmin so the office knows.
Can I undo a dose? No. There is no undo button for a completed dose. Locking protects the audit trail. Add a remark on the child’s profile and report it to the office.
What if the parent has no phone?
Registration needs a guardian phone number, ten digits starting with 9. If the guardian has no phone, use the number of a relative or neighbour who can be reached. The verification step refuses a child whose guardian record has no phone.
What if the child was registered twice? The registration form blocks a second child with the same name under the same guardian and shows Already Registered with the existing UPC. If two records still exist, for example with different spellings, ask a GeneralAdmin. Only SuperAdmin and GeneralAdmin can delete a duplicate.
Why can’t I find a child that a colleague can see? Scope. LocationAdmin and GeneralUser accounts see children verified or dosed at their assigned sites, plus children not yet dosed anywhere. Your colleague may be assigned to more sites. See Common problems.
What does “Registration Not Verified” mean? The child registered themselves (or a parent did) and office staff have not yet confirmed the details. Click Go to Verify Registration, check the details and save. Dosing starts after that.
What does “Screened, not dosed” mean? A child was measured and screened, but the session was never completed with a dose. The Prashan page shows an amber banner with today’s count. The camp day analytics page lists them; a child can be marked as dosed there only if the site confirms the drops were given.
The QR wait timed out. What now? The scan must arrive within 5 minutes and be linked to your staff code. Click Start QR Link again, or use Manual Search with the UPC.
Why do dates show twice?
Dates show in both calendars, for example 2026-09-09, 2083-05-24. The first is AD (the international calendar); the second is BS (Bikram Sambat, the Nepali calendar). Government forms use BS, so both are always shown.
Can I work offline? No. The Prashan page says Offline mode unavailable. Every action needs a connection to the server.
For site and office admins
Section titled “For site and office admins”Who can delete a child or guardian? Only SuperAdmin and GeneralAdmin. The Delete button on Participants is hidden from other roles, and the server refuses the request even if someone finds the address. Deletion is a soft delete: the record is hidden, not erased, and the action is written to the audit log.
What does “Org Verified” mean? The child came from an organisation roster (a school or similar) imported through Import Org Children. Their status is Org Verified instead of Self Registered or Verified, so you know the details came from the organisation’s list, not from a parent at the camp. They can be dosed straight away.
How do I change my password? There is no self-service change. A SuperAdmin or GeneralAdmin opens Admin → Office Staff, clicks your name, then Edit, and types a New Password. Leaving the field blank keeps the current password. A LocationAdmin can do this for GeneralUsers at their own sites.
How long does a login last? About a month. The app signs you out early when fewer than two days remain, so you are never cut off in the middle of a camp day. If you are sent to the login page unexpectedly, just log in again.
Why is the camp day report short? Check Screened, not dosed on the camp day analytics page. Those children were seen but never completed. Also check the dashboard is showing the right camp day in the dropdown.
Can a locked dose batch be edited? No. Locked batches are fixed on purpose. If the recipe was wrong, prepare a new batch, attach it to the camp day and stop using the old one. A batch that is assigned to a camp day cannot be deleted until it is unlinked.
Can I see who changed a record? SuperAdmin and GeneralAdmin can open Admin → Audit Log. Remarks on a profile also show Added by and the time.
How do I print QR cards? Open the child’s profile. Next to the QR code choose a Size: Sticker 50×30, A5 or A4. Click Print and confirm the paper size in the browser dialog. Download saves the QR as a PNG instead. Right after registration, the success page can print every new card at once. See Phones, tablets and printing.
Why does the app still say “HPV” in some places? It is the old name for what the screens now call Office Staff. Web addresses and a few reports keep the old word. They mean the same people.
For parents
Section titled “For parents”How do I register my child?
Open the SBDMS website and click Self Register. Fill in your details and your child’s details. You get a UPC (a short code like QUQV-7135) and a QR code for each of you. Save or print them. Bring them to the camp.
I lost the QR card. Can my child still get the dose? Yes. Staff can search by your child’s name or by your name and phone. Ask them to print a new card from the child’s profile.
Do I have to be there? Someone must accompany the child. It can be a registered guardian or another adult, whose name and relation staff record as Other.
Can I see my child’s dose history? Not yet on your own phone. Ask staff at the camp; they can show the profile timeline and print a one-page profile for you.
