Screened but not dosed

A child is “screened but not dosed” when someone pressed Next: Prashan on the dose form and nobody ever pressed Complete Dose. This page explains what that means, where these children show up, and how to finish their records. It is for anyone who can open the camp day: health workers (GeneralUser), site admins (LocationAdmin), GeneralAdmin and SuperAdmin.

What it means

Pressing Next: Prashan at the end of screening opens a dose session with status Started. Pressing Complete Dose on the next step turns it into Completed and writes the dose record. If the second press never happens, the session stays Started for ever. The child was measured, a guardian was named, but as far as the system knows no drops were given.

It happens easily: the worker gives the drops, the parent leaves, the next family is waiting, and the worker searches the next child. The page forgets the first one.

Why it matters

Every report counts Completed sessions only. A Started session is in none of them:

• Dosed Participants and Total No. of Drops on the camp-day report are short by that child.
• Anusuchi-2 and Anusuchi-3 do not include the child.
• The child’s own profile and Previous Doses table show no dose for the day, so their next Dose # will be wrong.

On one camp day a single operator screened 141 children this way over four hours, and the day’s report was short by exactly 141.

Where to see them

There are two places, and the first leads to the second.

The amber banner on the Prashan Day page: N children were screened today but not marked as dosed. They are not counted in any report. Review →. It counts open Started sessions on the camp day you have open and updates after each child you finish. Click it.

The camp-day report (Admin → Camp Days → Reports on the row, or the banner). Two things there:

• The Screened, not dosed tile in the top row, amber when the count is above zero, with the note not in any report until completed. Below it, the SBP Dosing Report funnel shows the same number between Excluded and Dosed.
• The Screened but not dosed table. One row per child: Child, UPC, Screened by (the logged-in user who screened), Screened at (the time screening ended), Weight, and a Mark dosed button.

When the list is empty the table says Every screened child on this camp day has a recorded decision (dosed or excluded).

Anusuchi-3 in Admin → Reports shows the same Screened, not dosed count for its site and date range, so an office can spot the gap without opening each camp day.

Fixing the list

Only when the site is sure

Mark a child as dosed only if the site confirms the drops were actually given to that child on that day. Ask the worker named in Screened by. If nobody can confirm, leave the row. A wrong dose on a child’s permanent record is worse than a missing one.

One child at a time:

1. Find the row and click Mark dosed.
2. Read the confirmation dialog: Mark 1 child as DOSED on this camp day? with the child’s name, then Only confirm if the site is sure these children actually received the drop. This records a dose on their permanent record and cannot be undone here.
3. Click OK.

Several at once:

1. Tick the boxes on the rows to complete, or the box in the header to select all.
2. Click Mark selected as dosed (N).
3. The same dialog lists up to five names and “and N more”. Click OK.

A green message confirms N children marked as dosed. The table and the headline numbers refresh at once. If a row could not be completed, an info message says how many were skipped and why, for example because the child was completed meanwhile by someone else, or is at the 60-dose cap.

When the day has several batches

If more than one batch is attached to the camp day, a Batch… dropdown appears next to the button. Every dose needs a batch code on the record, and the system will not guess. Pick the batch first; until you do, both Mark dosed and Mark selected as dosed are disabled. With one batch it is used automatically.

What gets written

Marking a child dosed here does exactly what Complete Dose would have done (Step 2: Giving the dose):

• the session becomes Completed and locked, with the chosen batch and a note Completed from the screened-not-dosed list in its remarks;
• a dose record is created with the batch, the camp site, the next dose number, and the camp day’s date as the dose date, even if you are finishing the list the next morning;
• an audit entry is written under your username.

The screening values stay as they were recorded. The one-dose-per-camp-day rule and the 60-dose cap are checked again for each row.

Who can do this

Anyone who can open the camp day: staff assigned to the camp site, and all GeneralAdmin and SuperAdmin users. There is no separate permission. The audit trail records who confirmed each row.

Avoiding it tomorrow

• Finish every child with Complete Dose or Filter Out & End before calling the next one.
• Look at the amber banner every time you return to the search screen.
• Clear the list before the camp day is marked Completed. See Closing the day.
