Registrations and verifications report

This report answers “who registered this child, who verified them, and when?” for every child registered in a date range. It is for SuperAdmin and GeneralAdmin. A LocationAdmin does not see the card, because the report names staff across all sites.

Open Admin → Reports → Registrations & Verifications. The page has three parts: the date range, the list of columns, and the download.

The range applies to the date the child was registered, not the date they were dosed.

  • From (AD) and To (AD) — the To date cannot be after today.
  • Quick buttons: Today, Last 7 days, Last 30 days, All time. The page opens on the last 30 days.
  • All time clears both dates and exports every registration.

The range is read in Nepal time and both days are included. A child registered at 02:00 Nepal time on the 5th belongs to the 5th, even though that is still the 4th in UTC.

The column set is fixed, so CSV, Excel and PDF always agree.

Column What it holds
SNO Serial number, 1 upward
Child Name, UPC The child
Guardian Name, Guardian Phone The primary guardian, or the first linked guardian if none is marked primary
Preferred Site The child’s home camp site as it is now
Registered By See below
Registered On (NPT) Date and time of registration, Nepal time, to the minute
Verified By The staff member who verified the child
Verified On (NPT) Date and time of verification, Nepal time
Site Changed At Verification Filled only when the child was verified at a site other than the one the family chose

Rows are sorted by registration time, oldest first.

  • A staff member’s display name, with their username in brackets when the two differ, for example Dilli Ram Kandel (gnmuser). Several site accounts are named after the hospital, so the username tells them apart.
  • Self-registered when the family used the public registration form.
  • A name followed by (import) when the child came from a spreadsheet import, on environments that have the import feature.
  • A dash () when the child was registered before this information was recorded. The report never guesses.

Verifying a child moves their preferred site to the site where verification happened. So Preferred Site shows where the child ended up, and on its own it hides the move. This column names the move as Original site → Site verified at. It is empty when nothing changed.

  1. Pick a Format: CSV (.csv), Excel (.xlsx) or PDF.
  2. Click Download. The button shows Preparing… and then Download started.

The file is named registrations_<date>.<format>.

Format Notes
CSV Plain text, UTF-8 with a byte-order mark so Excel shows Nepali names correctly
Excel Title rows, then a frozen header row with filters; UPCs and times stay as text
PDF A4 landscape with page numbers, all times labelled Nepal Time
  • At most 20,000 registrations per file. Over that you see That range matches more than 20000 registrations — narrow the dates.
  • “from” is after “to” — swap the dates.
  • Dates must be complete calendar dates; the picker enforces this.
