Working offline
Offline mode lets a health worker run a Prashan day where there is no internet, and send the work to the server later. This page is for health workers (GeneralUser) and site admins (LocationAdmin) at camps with a weak or no connection, and for the office staff who switch the feature on. Offline mode is available on the live system from 2 October 2026.
Offline mode is something you choose. You prepare the device while you still have internet, work offline at the camp, then send everything and leave offline mode. A banner at the top of every screen tells you when you are offline.
Before you start
Section titled “Before you start”The Prepare for Offline button appears only when all of these are true:
- The camp site has offline mode switched on. It is off for every site until a SuperAdmin or GeneralAdmin opens Admin → Camp Sites, clicks Edit on the site and ticks Enable offline mode for this campsite. See Camp sites.
- You are assigned to that camp site. Offline mode downloads the camp day of a site you are assigned to. SuperAdmin and GeneralAdmin accounts are not tied to a site, so they cannot prepare a device. Use the account of someone assigned to the site, for example its LocationAdmin.
- A camp day is near. A camp day at the site must be running, or start within the next two days.
- The device can do it. Use a recent Chrome (Android) or Safari (iPhone, iPad), open the site at its
httpsaddress, and keep at least 1 GB of storage free.
If something is missing, the Offline mode panel (see the next section) shows This device cannot be prepared for offline use yet, with the reason and, under What to do, who can fix it. It also points out an old camp day at the site that was never marked Completed.
Opening the Offline mode panel
Section titled “Opening the Offline mode panel”The explanation lives in a panel that you open from the menu. It is no longer shown as a strip on the dashboard, the camp-day screen or Prashan Mode.
- On a computer: open Admin ▾ (Core Data ▾ for a GeneralUser) and click Offline mode in the Prashan group at the top.
- On a phone or tablet: tap ☰ and tap Offline mode in the Prashan group. When this device can be prepared now, a Prepare for Offline button also sits at the top of the ☰ menu as a shortcut.
- From Prashan Mode: it has no menu. Tap Full site first, then use the menu.
The panel shows one of two things:
- Prepare for Offline Prashan, with the next camp day (site and date) and the Prepare for Offline button, when this device can be prepared.
- This device cannot be prepared for offline use yet, with the reason and a What to do box.
Close it with the ✕ button or Esc.
The Offline mode item is greyed out while the device has no network. It is not shown at all to a SuperAdmin who is not assigned to a camp site (they can never use offline mode), or once the device is already in offline mode, where the yellow banner takes over.
Preparing the device
Section titled “Preparing the device”Do this the day before, or on the morning of the camp, while you have internet.
- Open Admin ▾ → Offline mode (Core Data ▾ → Offline mode for a GeneralUser, or ☰ → Offline mode on a phone). In the Prepare for Offline Prashan panel, click Prepare for Offline.
- The window asks you to log in again. This is normal: it refreshes your login and records who took the device offline.
- Wait while the camp day, its children and guardians, its batches and the dose rules download. Do not close the page.
- When it finishes, a yellow Working offline banner stays at the top of the screen. You are ready.
Use the same device all day. Work saved on one phone does not move to another.
What works offline
Section titled “What works offline”- Prashan Mode and the Prashan Day page: search by name or UPC, screen, and record doses and screened-out children. The usual rules apply: one dose per child per camp day, the batch must be one of the camp day’s batches, and the age limits.
- Registering a new child at the camp. The child can be verified and dosed straight away; the registration is sent with everything else.
- Participants and profiles of the children in the downloaded camp day.
These need the internet and are greyed out or say so while offline: Org Mode, Scan QR Code (the Submit QR Data page) and QR scanning, profile remarks, and paper doses on a profile. A dose recorded offline gets no queue (token) number, so send the family straight to the dosing desk.
After a while without use the app locks itself. Type the password you used when preparing the device. Nothing is lost while it is locked.
Sending the work: Sync and Pull
Section titled “Sending the work: Sync and Pull”The banner shows how many records are waiting to be sent.
- Sync sends what was recorded on this device to the server. Press it as soon as you have a good connection again.
- Pull downloads the latest children and camp day from the server, for example walk-ins a colleague registered. Your waiting records are left alone.
- Done leaves offline mode once everything has been sent. The downloaded camp day is then removed from the device.
You cannot log out while records are waiting. Sync first.
If a record is refused when it is sent, the sync window lists it with the reason, for example a child who already has a dose on that camp day or has reached the 60-dose limit. Each refused record has Retry and Discard. A refusal like these is correct, so discard it and tell the guardian. SuperAdmin and GeneralAdmin can see every refused record afterwards.
A dose given offline is still accepted if an admin marked the camp day Completed before you synced, because the drops were given while the day was running. A camp day that was deleted or cancelled in the meantime refuses it.
Common problems
Section titled “Common problems”| What you see | What to do |
|---|---|
| No Prepare for Offline button | Open Admin ▾ → Offline mode (Core Data ▾ for a GeneralUser) and read the reason. Usually the site is not switched on, you are not assigned to the site, or no camp day starts within two days. |
| No Offline mode item in the menu | You are a SuperAdmin with no camp site, the device is already in offline mode, or the page could not reach the server when it loaded. Reload the page with a connection. |
| Device check failed or This page is not on a secure connection | Open the site at its https address in a recent Chrome or Safari. |
| Low storage | Free at least 1 GB, or use another device. |
| This child is not in the camp day saved on this device | The child was not in the download. Use Pull when you have a connection, or register the child. |
