Data exports

This page lists the plain data exports: spreadsheets of children, dose sessions and audit rows, without the official form layout. It is for admins and for the developer who supports them. For the official forms, see Anusuchi-2 and Anusuchi-3.

Export Where Roles Format Cap
Advanced children export Admin → Reports → Advanced Export SuperAdmin XLSX, PDF 20,000 children
Non-preferred-site audit list Export audit list on the camp day report SuperAdmin, GeneralAdmin XLSX One camp day
Registrations and verifications Admin → Reports SuperAdmin, GeneralAdmin CSV, XLSX, PDF 20,000
Children export Export address only, no page All staff roles, scoped CSV, XLSX 50,000 rows
Sessions export Export address only, no page All staff roles, scoped CSV, XLSX 50,000 rows
Audit-log export Export address only, no page SuperAdmin, GeneralAdmin CSV, XLSX 50,000 rows

Open Admin → Reports → Advanced Export. Only a SuperAdmin sees the card; anyone else who types the address sees Access restricted.

  • Camp site — one site or All camp sites.
  • StatusAny status, Verified, Self Registered or Org Verified.
  • Dosed from (camp-day, AD) and Dosed to (camp-day, AD).
  • Gender — Any, Male, Female, Other.
  • Min age (mo) and Max age (mo) — age today, in months.
  • Verified children only — tick to keep only children verified at some site.

How the site and dates combine:

  • With a date range, you get children who have a completed dose on a camp day in that range, at the chosen site if one is set.
  • With a site and no dates, you get that site’s whole roster: every child whose preferred site or verified site is that site, including children not yet dosed.
  • With neither, all children.

Tick the columns you want; All and None are quick links. Every id is turned into a name, so you never see a raw number for a site or guardian.

UPC · Child Name · Gender · DOB · Age (months) · Status · Preferred Camp Site · Verified At Camp Site · Guardian · Guardian Phone · Guardian Address (ward, tole, palika, district) · Prior Doses · Digital Doses · Total Doses · Last Dose Date · Registered On

Prior Doses are paper doses recorded on the child; Digital Doses are completed doses in SBDMS; Total Doses is the sum.

Pick Excel (.xlsx) or PDF and click Export. Excel gets a bold header row with filters. PDF is A4 landscape with page numbers. The file is children-export_<date-time>. Over 20,000 matches gives Filter matched N children — narrow it (cap is 20000).

On the camp day report, the Catchment Area box shows Dosed here, preferred site elsewhere: N. SuperAdmin and GeneralAdmin see Export audit list when N is above zero. The Excel file has a two-line title (Non-Preferred Site Dosage Audit Report / for Site Campsite for Date Campday) and one row per child with Child Name, UPC, Preferred Site and Dosed By (HPV). A child dosed twice on one day is one row.

Children, sessions and audit exports (address only)

Section titled “Children, sessions and audit exports (address only)”

These three exports have no page in the app. They are addresses under the admin exports area of the server that return a file when called with your login. Your developer can call them from a script, or the Help page in the app lists them. Each takes an optional from and to date (AD, yyyy-MM-dd) and a format of csv (default) or xlsx. The to date includes the whole day.

Columns: Id, Upc, Name, Gender, Dob, Status, CreatedAt, VerifiedAt, PriorDoseCount. The dates filter on the registration date. Newest first.

One row per dose session. Columns: Id, ChildId, Upc, ChildName, CampDayId, CampSiteId, CampSiteName, HpvId, HpvName, Status, Temperature, Weight, Height, BMI, MUAC, PrashanCompletedAt, CreatedAt. The dates filter on the session’s creation time. An optional campSiteId limits it to one site.

SuperAdmin and GeneralAdmin only. Columns: Id, TableName, Pk, Action, Actor, ActorRole, Endpoint, Ip, At. An optional table keeps one table’s rows. The before and after snapshots are not in this export; see The audit log for those.

CSV XLSX
Opens in Any spreadsheet or text editor Excel, LibreOffice, Google Sheets
Nepali names Correct; files carry a UTF-8 marker for Excel Correct
Numbers and dates Everything is text Numbers stay numbers; the registrations report keeps UPCs and times as text on purpose
Header First line Bold first row, columns sized to fit

Pick CSV for scripts and other systems, XLSX for people.

  • Children, sessions and audit exports stop at 50,000 rows with Filter would match more than 50000 rows — narrow the date range.
  • Advanced export and the registrations report stop at 20,000.
  • Bad dates give Could not parse ‘from’: … Use yyyy-MM-dd.

SuperAdmin and GeneralAdmin get everything. LocationAdmin and GeneralUser get only rows tied to their assigned sites, and the filter is applied by the server:

  • Children export: only children with at least one dose session at one of your sites. A self-registered child with no visit yet is not included.
  • Sessions export: only sessions at your sites. Asking for another site’s campSiteId returns an empty list, not an error.
  • Audit-log export: refused for these roles.
